Routy

Report Builder

Report Builder is where you turn Routy's data into exactly the report you need. Instead of a handful of fixed reports, you pick the columns, apply the filters, sort it, and save that setup as a preset you can reuse, share, or tweak later.

If your home Dashboard shows you a number you want to dig into, Report Builder is where you go to see what's behind it.

The idea

There's no single "the report". A report is just a combination of three things you control:

  • Columns — what you want to see (dates, brands, clicks, FTDs, commission, etc.)
  • Filters — which slice of data you want (a date range, specific accounts, brands, countries…)
  • Sorting — the order rows appear in

Save that combination and it becomes a preset. Open the preset any time and it rebuilds the report with the latest data.

How it's structured

You move through three levels:

Level What you do
Report types Pick the kind of data you want to report on (e.g. Events, Link Performance).
Presets Browse saved presets for that type, search them, or start a new one.
The report The actual table — adjust columns, filters, sort, then save, share, or export.

A breadcrumb at the top always shows where you are, so you can step back up at any time.

The report types available in Report Builder

Report types are granted to your account, so the list you see is the set you have access to — it isn't the same for everyone.

Presets

A preset is a saved setup, not a saved table. It stores which columns you chose, which filters you applied and how you sorted — never the numbers themselves. Opening it runs the report again against current data, so you always see the latest figures.

Preset scopes

Each preset has a scope badge that tells you who it belongs to:

Badge Scope Meaning
Default Routy A Routy-provided starting point. Read-only — you can't edit it directly, but you can Save as my own to get an editable copy.
Account Shared Visible to everyone in your account. Anyone with permission to edit reports can change or delete it — including presets you created.
Private Personal Only you can see it, and only you can edit it.

Account presets are genuinely shared. There's no "owner" on a shared preset — a colleague with report-edit rights can change or delete one you made. If you need a setup that only you can touch, save it as Private.

The date range is not part of a preset

When you save a preset, Routy deliberately leaves the required date range out of it. A preset describes what to report on, not when, so it stays useful next week and next quarter. Every time you open it, the date range starts from the report's own default (typically the last 30 days) and you set the window you want.

Routy's own Default presets are the exception: a Routy default may pin a specific window on purpose.

Building a report

Inside a report you have a toolbar above the table that controls everything.

The report toolbar: filter, download, save and the column picker

Columns

Open the Columns drawer — the button shows selected / total, e.g. 6/24. Columns are grouped into Dimensions (things you break the report down by — day, brand, country) and Facts (the numbers being measured — clicks, signups, commission).

Tick what you want, untick what you don't, and drag to reorder — the order in the drawer is the order in the table. There are limits on how many columns in total, and how many of each kind, a report can carry; the limits depend on your account and Routy tells you if you go over.

Filters

Narrow the data with the filter controls. Only a fixed set of columns is filterable — the report's date column plus dimensions like account, program, brand, traffic source and country — so a report with many columns may still offer only a handful of filters. The measured numbers are never filterable.

The date range is required. Emptying it on its own snaps it back to the default. Clear all, though, empties it along with everything else — and until it has a value again the report can't run and Save stays disabled.

If you open a shared link carrying a filter this report doesn't support, Routy applies everything it can and tells you which filters it had to drop.

Sorting

Click any sortable column header to sort by it. Click again to reverse, once more to remove the sort. One sort at a time.

Saving your work

The Save button changes label depending on what you're working with:

  • Save as preset — for a new report. Give it a name and choose whether it's visible to everyone in your account or only to you.
  • Save changes — for an existing preset you can edit. Update it in place, or keep it as it was and save your changes as a brand-new preset.
  • Save as my own — for a Routy Default preset. Since defaults are read-only, this makes an editable copy.

The save drawer offering to update the preset or save a new one

After saving, the badge next to the report name tells you which scope the preset ended up with — Account (shared) or Private (just you).

Sort order and new presets. Sorting is stored when you use Save changes on an existing preset. A brand-new preset is created without one, so if the sort matters, set it after saving and use Save changes.

If you leave a report with unsaved changes, Routy warns you first. Save — or knowingly discard — before you leave.

To rename a preset without touching its setup, use the pencil / Edit next to the report name.

Sharing a report

Use the Share button next to the report name to copy a link. Anyone you send it to — who has access to your account and to that report type — opens the same view, with the same columns, filters and sort.

Two things worth knowing about the link:

  • It captures the report as it currently is on your screen, including changes you haven't saved. If you want them to see a stable version, save first.
  • It applies once, when they open it. If they then reload the page, they get the underlying preset again, not the shared variation. For anything you'll come back to, save a preset rather than keeping a link.

Exporting

Click Download to export the report you're looking at as a CSV, built from the columns and filters you currently have applied. You need at least one column selected. Very large reports are capped at 100,000 rows, so narrow the date range or add filters if you need everything.

Good to know

  • Presets are reusable, not snapshots. Opening a preset re-runs it against current data.
  • Start from a Default, then make it yours. The fastest route to a good report is to open a Default preset, adjust it, and Save as my own.
  • The date range gates everything. If the table won't load or Save is greyed out, check the date range first.
  • Big reports load as you scroll. Large result sets stream in while you scroll the table.

Common questions

"The table is empty / won't load"

Check the date range first — if it's missing a value the report can't run. If it's fine but there are genuinely no matching rows, widen the range or clear some filters.

"Save is greyed out"

Either you haven't changed anything yet, or the required date range has no value. On a brand-new report, Save also stays disabled until you've selected columns.

"I can't edit this preset"

It's a Default (Routy) preset — those are read-only. Use Save as my own to get an editable copy.

"My preset opened with a different date range than I saved"

That's intended. Presets don't carry a date range — see The date range is not part of a preset.

"Someone changed my preset"

If it's scoped Account, anyone with report-edit rights can change it. Save it as Private if you need it to stay yours.

"Some of my filters didn't apply"

The report type doesn't support filtering by those columns. Routy applies everything it can and lists what it dropped.

The link includes unsaved changes from your screen at the moment you copied it, and it only applies on first open. Save the preset and share that instead.

When to contact support

Get in touch if a report type you expect to see isn't listed, if a report returns an error rather than empty results, or if the numbers disagree with what you see in Clicks or on your Dashboard.
